Requesting A Police Report By Mail

The process of requesting a copy of a police report by mail is a bit more involved. In many jurisdictions, you are required to make your Public Access Request via mail. Typically, the agency will provide a form online for you to fill out, but some places are fine with you writing a letter to ask for the police report.

1. Figure out where to send the Public Access Request form or letter.

Your local police department may have a specific address and addressee for police report requests listed on their website. If they dont, simply address it to the Records and Identification Division, and use the general address listed online for the department.

2. Fill out the form or write the letter.

After you have found the location to send your request, you should be able to easily find out if they want you to send a request form or a letter. If the information is not readily available on the site, just call and ask which method they prefer. If it is available, filling out a request form is typically the easiest method because you wont have to worry about leaving out information.

If you write a letter instead of filling out the form, be sure to include the following information:

  • Case number
  • Your Name, Birthdate, and Address
  • The date and location of the incident
  • Your role in the case
  • The officers name who filed the report
  • What exactly you are requesting

3. Gather additional materials and send the form/letter.

4. Pay for the police report.

How To Look Up Police Reports By Case Number

When a police officer responds to a call for service that involves an accident or results in an arrest the officer generates a written report. The report details the events that transpired, as well as the parties involved in the case. The case is assigned a case number, which is used by the police department to organize and file the report. The case number is different than that of a court case number. If you must obtain a copy of the police reports for insurance, civil or personal other reasons, the report can be obtained from the police department.

Locate the address or telephone number of the police department or sheriff’s office that created the report. To locate this information, look in your local phone book, or search for the office by name using your favorite search engine. For example, enter “Orlando Police Department” into a search box. • You can check your local courts website if you know the location or original county of the arrest.
  • Go to the local courts website.
  • Type the name of the person if the court website has a search feature.
  • It is important to know as much information about the person you are searching for an outstanding warrant so that they can be properly identified in the public records when dealing with a specific court.
  • If you cant find this information, then a phone call to the local court directly will be necessary.
  • Ask the court clerk if there is an outstanding warrant for the individual.
  • Again, have as much information as possible about the individual, such as the individuals birth date and any relevant case numbers or arrest records.
  • If you do not have all this information or find the court difficult to work with you can easily use SpyFlys Outstanding Warrant Search tool. This also may be less cumbersome than dealing with a local court and their public record systems. You might need to check status of a police report when the responding officer doesn’t provide it at the site of the incident. A report comes in handy for insurance and legal purposes. For example, if you are in a car accident, you’ll need an incident report so that an insurance company, attorney, or judge can determine who is at fault. Certain reports, such as those involving a juvenile, an arrest or fatality, might not be released online, and may need to be requested in person or via mail.
