In the context of a car accident case, a police report is a written document that is usually generated at the scene of the crash, typically by the responding law enforcement officer. The police report often contains:

  • a drawn diagram of the accident , and
  • in some instances, the officers findings or conclusions as to how or why the accident might have happened.

What Information Is Contained In A Police Report

If youve ever been involved in a car accident, youve likely seen the responding officer walking around the scene of the accident taking notes. These notes are used in the police report, which, for a car accident, contain some or all of the following information:

  • Name of the responding police officer
  • Approximate date, time, and location of the accident
  • Name and contact information of the parties involved in the accident
  • Name and contact information of any witnesses to the accident
  • Location of any damage to the vehicles involved in the accident
  • The weather, roadway, and lighting conditions at the scene
  • A diagram of the accident
  • Statements from the parties and witnesses
  • Citations and/or violations of law
  • Opinion of the officer as to the cause of the accident

Of course, all police reports arent created equal. The general rule of thumb is that the more serious the accident, the more detailed the police report.

Can I Request A Police Report Online

Check the police departments website for information on obtaining police reports. The site will typically provide instructions on ordering a report, but may also provide a phone number or email address you can use to confirm whether your report is ready for pick-up. In most jurisdictions, the records unit or a report processing unit typically handles police report requests. This is the counter or office that you must visit in person or call to request status of a police report.

Some jurisdictions allow you to order a copy of the police report through a secure portal accessed through the departments website. To use this service, bear in mind that you will need to have a valid e-mail address and generally, you must be the person who reported the incident not a relative, friend, witness and so on. Make sure you have valid identification.

All Certificates of Conduct will be mailed via United States Postal Service after the completion of processing. Processing and mailing should occur within ten business days.

Requesting A Police Report In Person

1. Gather the required materials.

Bring with you a form of identification like a drivers license or passport. If you are making the request on behalf of someone else, you will need to have a notarized letter with you. Most agencies require a small request fee. If you were directly involved in the incident whether as a victim, witness, or defendant you may receive a verification slip from the authorities to let you know that a police report has been filed. Bring this slip with you to exchange for the police report.

2. Visit the Records and Identification Division of the police department.

The Records and Identification Division may have exclusive hours throughout the day that are not your typical business hours, so be sure to verify online. They will ask you for your information, as well as basic information about the case. Then, they will take your payment to cover the request fee.

3. Retrieve the copy of your police report.

In some areas, you may have to pick up a copy of the police report in person, but some agencies may mail it directly to you. Either way, expect to pay a per-page fee for the copy of the report. Reports typically cost a total of $50 to $150.

To Request A Copy Of A Police Report Other Than A Vehicle Accident

Copies of any police report can be obtained through a Freedom of Information Act request. You can submit your request several ways: Click this Police FOIA request form link to fill out an online form or pick up a form at the police station or call the police department to have a form faxed or mailed to you. You can also download a PDF version of our Freedom of Information Act request form, print it, and submit it.

Fill out the form with as much information as possible to allow our Records Department staff to accurately fulfill your request. If you have the report number, please include it.

Copies are not available immediately, as the reports must be reviewed and approved prior to release. By law, we have 5 business days to comply with your request. When we have completed your request, you will be contacted via e-mail or via the method you indicated on your request. Typically, FOIA requests are fulfilled at no charge. However, there are exceptions. In some cases, charges are levied for a large volume of copying.

What Do I Do If I Have Problems Or Am Not Able To Complete An Online Crime Report

Request Forms For Ca Family Code 6:

Victims of Domestic Violence, Sexual Assault, Stalking, Human Trafficking, or Abuse of an Elder or Dependent Adult

California Family Code § 6228 provides that victims of the alleged crimes, listed above, may receive a copy of their incident report within five days of their request, free of charge. Due to the sensitive information included in the reports, SFPD protocol requires in-person identification verification. Victims or their designated representatives must either submit their request in-person or pick-up their incident report in person at CISU Records Management. For a list of acceptable forms of identification, please refer to Section 2 of the Request for Police Report: Family Code § 6228 form.

Police Traffic Accident Report

These are reports completed by CSPD officers that detail the events of a traffic accident. Please note, if you filed your traffic accident report online or mailed your form to the State of Colorado Department of Motor Vehicles, the CSPD will not have a copy of your report. You will need to contact the Colorado State Patrol.

How Are Police Reports Obtained And How Much Do They Cost

Accident Reports, Incidents, and Crime Reports: can be obtained from the Records Bureau as soon as they become available. You may request the report in person, but reports take time to prepare and we strongly recommend that you call ahead for a copy of a report so that we can have it available to you when you come in. If the report you are interested in obtaining is for insurance purposes or for a lawyer, you may prefer to have them request the report for you.

Accident Reports:

You may obtain a copy of an official Accident Report that the officer completed if you were an operator of one of the vehicles in the accident, or the owner of a vehicle involved in the accident, or an injured party, or an insurance company requesting on behalf of their clients, or attorneys representing clients in a civil action. Accident Reports are obtained from the NH Department of Safety Division of Motor Vehicles by completing Form DSMV 505. For any assistance, please contact the Division of Motor Vehicles at 227-4040.

An incident sheet is a very brief description of calls that officers respond to. An incident sheet is typically one page of information that includes the date and time of an incident, the location, and the name of officer who responded to the scene. After submitting the report, a temporary number will be automatically sent to you by email. All communication will be done by email. Your report will be reviewed and if any changes are required, you will be sent a request for changes. Once the report is corrected and approved, you will receive an official event number by email, as well as a PDF copy of the report.

How to File a Police Report Online

Individuals and organizations looking to submit bulk requests for crash IDs or crash data requests may do so by submitting an online Crash Data Request Form or an Open Records Request. Customers may also search public data by using the CRIS Query Tool. Annual reporting or data extract may also be useful to some customers.

Important Information when filing:

  • The Texas Department of Transportations retention period for records include the previous 10 full calendar years plus the current calendar year.
  • The Texas Transportation Code requires that all crash records be purchased and therefore bulk requests for multiple crash reports cannot be provided. Crash ID numbers corresponding to the request parameters will be provided instead, allowing the requestor to purchase at their leisure. NOTE: TxDOT cannot fulfill bulk requests that require searching any confidential fields as provided in Transportation Code 550.065, unless the requestor is otherwise entitled to such information under section 550.065. For example, TxDOT cannot release the results of a search for all accidents involving a particular person.

How Long Will My Report Take To Process

  • Normally, you will receive a response from the CORP reviewer within five business days.
  • In the meantime you will be given a temporary transaction number to document your submission. This temporary number is NOT your police report number.
  • Once your report has been reviewed and approved, your report number will be issued to you by email.

If you have already filed a report and realize you need the report approved quicker than 5 days you can do that by calling the non-emergency number 206-625-5011 and asking to file the report with the Communications Section.

Be sure to tell them you have already filed the same report through the online reporting system, and give them the temporary transaction number you were provided when you filed the report online so they may include it in the narrative of your report.
