Requesting A Police Report In Person

1. Gather the required materials.

Bring with you a form of identification like a drivers license or passport. If you are making the request on behalf of someone else, you will need to have a notarized letter with you. Most agencies require a small request fee. If you were directly involved in the incident whether as a victim, witness, or defendant you may receive a verification slip from the authorities to let you know that a police report has been filed. Bring this slip with you to exchange for the police report.

2. Visit the Records and Identification Division of the police department.

The Records and Identification Division may have exclusive hours throughout the day that are not your typical business hours, so be sure to verify online. They will ask you for your information, as well as basic information about the case. Then, they will take your payment to cover the request fee.

3. Retrieve the copy of your police report.

In some areas, you may have to pick up a copy of the police report in person, but some agencies may mail it directly to you. Either way, expect to pay a per-page fee for the copy of the report. Reports typically cost a total of $50 to $150.

    Police Incident Report

This is called redacting and it is done to protect the privacy of the people involved in the incident.

The Department redacts the names of all victims, all non-involved parties, all juveniles/minors and all suspects unless they have been booked into jail. This is a major reason why it takes time to prepare crime reports for online posting.

Once a suspect has been booked into jail, their name is no longer private. If they were booked into King County Jail you can view suspect information online at the King County Jail Register.

What Is The Description Of These Crime Types

PART I CRIMES: The four crime types currently posted here Burglaries, Robberies, Aggravated Assaults and Homicides are among those known as Part I or Major Crimes. These terms refer to seven crimes designated by the FBI Uniform Crime Reporting System as a basis for charting crime trends across the United States. The seven crimes chosen by the FBI as Part I crimes are: homicide, rape, robbery, and aggravated assault, which comprise Violent Crimes and burglary, larceny/theft and vehicle theft, which comprise Property Crimes.

People sometimes confuse the criminal behavior involved in a burglary versus a robbery. They may also not realize there is a difference between aggravated assaults and less serious assaults. The official FBI definitions of the crime types posted here are, as follows:

BURGLARY: the unlawful entry of a structure to commit a felony or theft.

ROBBERY: taking or attempting to take anything of value from another person by force, threat or force or violence and/or by putting the victim in fear.

AGGRAVATED ASSAULTS: an unlawful attack by one person upon another for the purpose of inflicting severe or aggravated bodily injury. This type of assault is usually accompanied by the use of a weapon or by other means likely to produce death or great bodily harm.

What Does An Incident Report Need To Include

An incident report is a formal recording of the facts related to a workplace accident, injury, or near miss. Its primary purpose is to uncover the circumstances and conditions that led to the event in order to prevent future incidents.

Every incident report you file should contain a minimum of the following:

    • Type of incident
    • Address
    • Time of incident
    • Name of affected individual
    • A narrative description of the incident, including the sequence of events and results of the incident
    • Injuries, if any
    • Other workers involved
    • Video and/or 360-degree photographs of the scene

Include quantifiable measurements where possible. For example, the ladder capacity is 250 lbs and the victim was hoisting 300 lbs.

Finally, where more than one person is injured in an incident, create a unique report for each affected employee. While its fine to duplicate general details between reports of this nature, youll need to include details specific to that person, such as the event from their point of view or medical records.

How To Get A Police Report

By law, certain police records and violation reports prepared and maintained by the Police Department are accessible to the general public.

If you need to get a copy of a police report, do this. First, begin by researching the requirements of the police department responsible for the jurisdiction in which the incident occurred. Then, follow the departments exact protocol for requesting and receiving those records. Start by checking the police departments website. Expand your search to the city website if you dont find anything on the police departments website.

Obtain and Fill Out Request Forms

Some departments may require that you complete a request form, sometimes called a request for public records. This may also be known as a request for open records. When you check the department website, look to see if you can download the request form from their site. If so, fill out the request form and submit it according to the directions.

Most request forms will require you to provide the first and last name of at least one of the involved parties. In addition, youll need the location, date, and time of the incident, and in some cases, the incident or case number.

    Submitting the Request Form

Important Notes Regarding Submitting Requests for Police Reports

    • It may take a few days or more to obtain the official documents
    • Charges for obtaining copies of the documents may vary by city or jurisdiction
    • Very few departments allow access to records online

    Look Up Police Reports Online

As surprising as it may sound in the 21st century, even public accessibility doesn’t always equal online accessibility. This is certainly true in the realm of police records.

The online availability of police records boils down to each individual police department. Some local departments freely offer documents like arrest logs, incident reports and incident response logs on their official websites. As an alternative, online arms of newspapers such as the San Francisco Chronicle regularly publish arrest records pertaining to their localities.

While a virtually countless array of commercial websites advertise the ability to look up police reports by case number , their ability to deliver on those claims may vary. The time-tested, old-school method requires victims to mail a written request for a police report to the relevant police department’s records division or document processing unit. It’s often the case that police reports will only be provided to the victim or the victim’s representative.

    Exposure Incident Report Example

When exposure to dangerous chemicals or pathogens occurs, its important to document the event carefully in an incident report.

Including the following details will make your exposure incident report more effective:

    • Type of incident
    • Address

Heres an incident report sample description for overexposure via inhalation:

Josh Lee, a freight handler in XYZ Shipping Lines, was exposed to carbon monoxide fumes on December 2, 2017, Tuesday, from 7:30 AM to 11:30 AM. He was at the unloading bay B, helping unload some freight from various containers with the help of two forklift operators: Kit Stevens and Donald Summers, neither of which complained of symptoms.

During unloading, Lee suddenly experienced lightheadedness and nausea. He informed his supervisor that he thought he was ill.

Stevens and Summers were ordered to turn off powered vehicles and sit in fresh air for an hour while the ventilation system could be examined .

Lee was driven to the hospital by Martin to receive treatment. On the way, he complained of blurred vision briefly but said that it had cleared up upon walking into the ER. A full report will be attached once received.

Be sure to attach medical reports and lost-time from work, if any, to your initial report. Keep the report on hand for the duration of the employees tenure with the company, at a minimum.

    Third Parties Obtaining Reports

Sometimes third parties who were not involved in the actions mentioned in police reports might want copies of them. In these instances, most states will only allow third parties to obtain copies of police reports if the matters enclosed within the reports have already been closed. However, some states may allow third parties to obtain copies of police reports even when the cases are pending. Generally, third parties must know the case number of the reports that they want and must go to the county clerks office where the police report was filed to obtain a copy of the reports. There is usually a fee for the reports to be printed as well.

The process of obtaining copies of police reports is slightly different for different groups of people. However, they typically are not difficult to obtain, no matter who wants them.
