Do I Need A Criminal Record Check Or A Vulnerable Sector Check
Different employers or institutions require different types of background checks.
A criminal record check simply verifies whether or not you have a criminal record.
A vulnerable sector check is a special type of criminal record check required for situations where you will be in a position of trust or authority over children, the elderly, the disabled, or another vulnerable group.
A vulnerable sector check involves a name-based search of the national repository of criminal convictions, a search of locally held convictions at Halifax Regional Police and a query of the pardoned sex-offender database. In some cases, you may be required to submit your fingerprints if there is a match based on either your name or a combination of your gender and date of birth to a pardoned sex offender record. Applicants with a potential match will be contacted by Halifax Regional Police and asked to come to Police Headquarters to have their fingerprints taken electronically. You can have your fingerprints taken Monday to Friday between 8:30 a.m. to 4 p.m.

Types Of Police Checks In Ontario
There are three kinds of police records check you can get in Ontario. These are governed by the Police Record Checks Reform Act
- Criminal record check Shows guilty charges under the federal Youth Criminal Justice Act and criminal conviction charges.
- Criminal record and judicial matters record checks Shows guilty charges under YCJA and criminal conviction charges. It also includes outstanding charges, discharges, judicial orders, and arrest warrants.
- Vulnerable sector record checks Shows guilty charges under YCJA and criminal conviction charges. It also includes charges found not guilty because of mental disorder. In some cases, this can include information related to non-conviction charges.
Types Of Police Record Checks
The PRCRA identifies three standard types of PRCs:
- Criminal Record Check,
- Criminal Record and Judicial Matters Check, and
- Vulnerable Sector Check
- The types of PRCs are differentiated based on the specific types of information authorized to be disclosed within each of them as outlined in the Act
- Additionally, the VSC is intended to be used for a specific purpose: to screen individuals that work or volunteer in positions of trust and/or authority relative to vulnerable individuals
- In order to keep vulnerable persons safe, the PRCRA allows for the disclosure of the broadest range of information in VSCs, including disclosure of record suspensions as authorized by the Minister of Public Safety and relevant non-conviction information as authorized by the PRCRA

Apply For An Online Record Check Now
Please note: Health cards and Social Insurance Number cards are not accepted. Requests for any level of police record check can be made only by the applicant. Third-party requests will not be accepted.
If fingerprints have been taken in the past or it is discovered that fingerprints are necessary for any reason, the online process will stop and the applicant will be asked to attend the Community Resource Centre to complete the application.
When And Why Are Police Record Checks Used
- A PRC may be required by law or organizational policy
- A PRC may be a useful tool to help determine an individuals suitability for certain types of opportunities
- PRCs are just one of the tools available, in addition to interviews, reference checks, verification of credentials/licences/certifications, and in some cases, more thorough background checks
- Agencies can only require an applicant to apply for one of the three types of PRCs and are not permitted to ask applicants to provide any additional police records

Record Checks For People Living Outside Of Canada
The Waterloo Regional Police Service does not provide police record checks to people living outside of Canada. If you live out of the country, and need confirmation that you have no criminal record in Canada, you may obtain a copy of your Canadian Criminal Record through the Royal Canadian Mounted Police .

Police Information Check Process Civil
The standard pre-employment, pre-volunteer check for the Regina Police Service is the Police Information Check.
Standard Police Information Check/Criminal Record Check The standard police information check includes in addition to a CPIC criminal record search, a check of the local indices of the Regina Police Service. The following information, if applicable, shall be included in the letter:
- All printable and non-printable convictions with respect to the subject which are found in the local records of the agency performing the Criminal Occurrence Security Check.Note: There is no time limit on the inclusion of convictions, other than what is stated in the Youth Criminal Justice Act for youth records, and in the Criminal Records Act for offences for which pardons have been granted and not revoked, absolute discharges, and conditional discharges.
- If someone has to be printed to confirm a criminal record in the National Repository, they will additionally receive a Certified Criminal Record from the National Repository in Ottawa.
- Apprehensions, orders, or other matters related to The Mental Health Services Act or to The Youth Drug Detoxification and Stabilization Act will not be disclosed.
In some cases, an organization may require a person obtain only a Certified Criminal Record Check or in addition, a Certified Criminal Record Check from Ottawa confirmed by prints. The standard Federal form is used to consent and print and can also be done by the Regina Police Service.

How Long Will It Take To Process My Record Check

If you are notified that your record check will be mailed, that can take an extra estimated delivery time of 5-7 days through Canada Post.

What Is A Criminal Record Check
A Criminal Record Check is a search of the Royal Canadian Mounted Police databases and is usually required for bylaw licences, employment or immigration purposes. It is not intended for individuals seeking employment or a volunteer position working with children or vulnerable persons.
All applicants applying for a volunteer position must provide a letter from the agency where they intend to volunteer. The letter must be printed on the agency’s letterhead and include the applicant’s name and volunteer position, stating the position is a “volunteer non-paid position.”

What Will A Criminal Record Check Provide
A Criminal Record Check will provide the following information:
- Criminal convictions from the Canadian Police Information Centre and/or local databases
- Summary convictions for five years
- Convictions where a records suspension has been granted, if authorized under the Criminal Records Act or another act or regulation.

All aspects of the process including verification of identity and fee processing are handled electronically using a platform provided by Forrest Green Solutions, a secure third-party provider.
In order to authenticate your identification, you will be asked questions relating to your employment, residence, banking and/or credit history that only you and a licensed consumer credit reporting agency would know the answers to. The answers are verified by the licensed consumer reporting agency and the information is not shared with our Police Service.

Background Check At Police Headquarters
Effective July 6, 2020 you can once again apply in person for a background check at Kingston Police Headquarters, 705 Division St, Kingston ON, K7K 4C2 during office hours, Monday to Friday, 8:00 a.m. to 6:00 p.m., holidays excluded.
NOTE: during the COVID-19 pandemic the front desk had previously not been accepting background checks in person. Effective July 6, 2020 you can now attend Kingston Police Headquarters to apply for a background check in person. As there will only be 7 individuals permitted in the lobby at one time we encourage you to still consider completing an online application. Can I Get My Police Check Done Any Faster
We do not have a system in place to process ‘rush’ requests. We appreciate that everyone would like their check completed as quickly as possible, and we strive to minimize the turnaround time as best we can.
Can I receive replacement copies of my background check?
Background checks are only valid as of the date they are issued. Most record checks are made available to you when you download them from your online account. You have 31 days to download the completed record check or to notify us of any technical difficulties. In some cases, we are still required to mail the completed record check using Canada Post. If you require a replacement paper copy , you have 90 days from the processing date to notify us. Please email our to submit your request.
How Long Does It Take To Receive My Completed Police Record Check
The turnaround time for police record checks can vary depending on the volume of requests we are experiencing. There may also be occasions where information is delayed or requires further confirmation. We appreciate that everyone would like their check completed as quickly as possible, and we strive to minimize the turnaround time as best we can.

Disclosure Of Youth Records:
This is one of the most significant changes to record checks in Ontario. Youth records are only permitted to be disclosed in two circumstances:
What does this mean? Only federal, provincial and municipal goverment agencies will receive youth records.
The PRCRA regulates how police services release Police Record Checks containing youth records to applicants. Up until now, police services have released a PRC containing youth records directly to the applicant who then provide the PRC to the organization or volunteer agency. The federal and provincial government has found this approach to be contrary to the Federal Youth Criminal Justice Act .
The only authorized release of a PRC containing youth records will be to a federal, provincial or municipal government. Applicants can gain access to their own record through the Federal Access to Information process but this record is not a PRC and is not allowed to be shared with any other agency.
What does this mean? Police services are unable to disclose whether or not there is a youth record.
How To Apply For A Criminal Record Check Online
Before you apply online, make sure the organization requesting the record check will accept an electronic copy of the results. Some organizations may not accept online criminal record checks.

How To Apply For A Police Records Check:
As a result of the COVID-19 emergency, Police Records Checks will only be processed through the online system at this link.During this time, the fees and wait-times associated with using the online system are now the same as our walk-in fee structure to eliminate residents having to attend our station.If an applicant needs to be fingerprinted to complete a Vulnerable Sector check, the completion of their check will be delayed.
