The Waterloo Regional Police Service does not provide police record checks to people living outside of Canada. If you live out of the country, and need confirmation that you have no criminal record in Canada, you may obtain a copy of your Canadian Criminal Record through the Royal Canadian Mounted Police .

When Employers Must Check Records

Some employers and licensing and registration bodies are legally permitted to check your criminal record when you apply for a job, licence or registration with them. Examples include:

  • working with children
  • government positions
  • the gaming and racing industry
  • public passenger drivers
  • working in Correctional Centres.

Employers and licensing and registration bodies must follow the law when determining suitability for a job, licence, or registration.

Who Will Receive The National Police Certificate

To ensure the protection of privacy and application of natural justice principles the National Police Certificates will be forwarded to the applicant at their nominated postal address on the application form. There is no option for the applicant to have the certificate forwarded to a prospective employer.

It is not recommended that copies be made unless the person or organisation can assure the applicant that it will be kept confidential, securely stored or disposed of appropriately. The original certificate must be sighted by the organisation/employer and may be photocopied and/or retained with the consent of the applicant.

Fingerprint Checks And Act Fingerprinting

Fingerprint checks may only be conducted where there is a legal or regulatory requirement for such a check to be conducted. Your fingerprints will be checked against a central database of records and will take additional time to process. An additional cost is also associated with this service.

Where a fingerprint check is required, it is your responsibility to obtain a full set of fingerprints from your local police jurisdiction. The original of the fingerprints must be posted with your completed off-line application form. Please note that fingerprints taken using a “Livescan” system cannot be accepted.

Applicants in the ACT requiring fingerprints should make a booking to have their fingerprints taken by telephoning the ACT Fingerprint Hotline on 02 5126 9121. Please note that this applies to applicants in the ACT only. However, if you require fingerprints in relation to obtaining a Security Licence, please contact Access Canberra for an update on this process.

No, the Victorian Spent Convictions Act 2021 determines what is disclosed based on the purpose of the check. For example, a certificate stating the purpose as âApplication for an overseas visaâ is not appropriate for ‘Legal Admissionâ. However the certificate may be used more than once provided that it is for the same purpose which will be displayed on the top left corner.

The information contained on the certificate is only current at the date of issue.

You can also apply in person at any of the NRPS locations throughout the Region. You will need two pieces of government issued identification and proof of a permanent address within the Region.

All police record checks are processed on a first come, first served basis.

What Identification Documents Do I Need For A Police Check

The Australian Federal Government made major changes to ID requirements for police checks since July 2018 as part of the National Identity Security Strategy. These changes replaced the ‘100 points’ ID system that was traditionally in place.Since July 2018, applicants must provide four identification documents and a biometric link to obtain a Nationally Coordinated Criminal History Check. These include:1 x Commencement ID, 1 x Primary ID, 2 x Secondary ID’s, a biometric link betweenthe applicant and their ID documents. If you submitted an application form directly to Victoria Police you need to put your dispute in writing, including a copy your photo ID and any relevant details to:

Get A Police Clearance

A national police certificate is a list of any criminal and Western Australia traffic court outcomes and pending charges you may have.

Spent convictions are not listed on the certificate. If you have no criminal or WA traffic court outcomes or pending charges, the certificate will show this.

You can make an application for a national police certificate online or by visiting Australia Post. Both methods require you to pay a fee and provide identification and an Australian residential and postal address.

If you are under 15, your parent or guardian needs to sign your application.

Online applications not requiring any further investigation can be completed within an hour. You will be notified if your application is referred for investigation and it may take up to 10 business days to process.

Checks By Interstate Police/acic Accredited Bodies

If you submitted an application via an interstate police jurisdiction you need to lodge your dispute with them according to their dispute process. Please make direct contact with the specific police jurisdiction.

If your check was conducted by an Australian Criminal Intelligence Commission Accredited body you must raise your dispute with them. The accredited body will arrange for you to complete an NPCS Dispute form which they will lodge on your behalf.

Disclosure Of Youth Records

How to Apply for a National Police Check

This is one of the most significant changes to record checks in Ontario. Youth records are only permitted to be disclosed in two circumstances:

  • To the youth themselves, who is not permitted to further disclose Findings of Guilt and must remove any results from the record check before sharing with agencies or
  • To the Government of Canada or the government of a province or a municipality for purposes of employment or the performances of services, with or without remuneration
  • Only federal, provincial and municipal government agencies will receive youth records.

    The PRCRA regulates how police services release Police Record Checks containing youth records to applicants. Up until now, police services have released a PRC containing youth records directly to the applicant who then provide the PRC to the organization or volunteer agency. The federal and provincial government has found this approach to be contrary to the Federal Youth Criminal Justice Act .

    The only authorized release of a PRC containing youth records will be to a federal, provincial or municipal government. Applicants can gain access to their own record through the Federal Access to Information process but this record is not a PRC and is not allowed to be shared with any other agency.

    Police services are unable to disclose whether or not there is a youth record.

    Criminal Record And Judicial Matters Check

    This check is the most comprehensive type of police check, when vulnerable sector screening is not required. It is a collection of offence information, including convictions, outstanding warrants, charges, and judicial orders available from the HRPS records and other systems/records where authorized.

    This check is for applicants who are seeking volunteer and/or employment with agencies who require a criminal record check. This check is not for applicants who are seeking volunteer and/or employment with vulnerable persons. *

    The Criminal Record and Judicial Matters Check WILL include the following information:

    • Criminal convictions from CPIC and/or local databases
    • Summary convictions, for five years, when identified
    • Findings of Guilt under the Youth Criminal Justice Act within the applicable disclosure period
    • Outstanding entries, such as charges and warrants, judicial orders, Peace Bonds, Probation, and Prohibition Orders. As per CPIC policy, information obtained from the Investigative Databank must be confirmed and authorized for release by the contributing agency
    • Absolute and conditional discharges for 1 or 3 years respectively

    Overseas And Interstate Applications

    Overseas applicants or applicants wanting temporary/permanent residency or citizenship must apply to the Australian Federal Police

    Interstate applicants must apply for national police checks from their respective police jurisdictions except for the following purposes for use in Victoria:

  • poppy industry
  • armed guard / cash in transit

  • contact with prisoners
