How To Report An Incident To The Police

  • See the words: “Your online police report has been submitted”.
  • You will then immediately receive a temporary police report file number and an email informing you that we have received your report and that it is pending review. A temporary file number will appear in this format: T11000999. Temporary file numbers cannot be used for insurance purposes.
  • If you do not receive an email with a temporary file number, please check your Spam or Junk-Email folder.
  • A police officer will review your report and either Approve, Reject or request additional follow-up information from you. You will be advised via email of the status of your report. Do not reply via email to any of these automated messages as these accounts are not monitored. Follow the directions provided on how to respond regarding your report.
  • Once your report is approved, you will receive a permanent report number – this number appears in this format: 11-123456.
  • Be able to print a copy of the police report to keep for your records only. This copy cannot be used for insurance purposes.

What Type Of Information And Data Is Contained In A Police Report

The following are types of data and information that may be included in a police report. Please note that there is no universal police report. Information will vary from department to department.

  • Identifying information for all parties involved in the incident, including full name, address, phone number, date of birth, social security numbers, driver license numbers
  • Date of the occurrence or incident
  • Location of the occurrence or incident
  • The officers name and ID number
  • The names of other officers who were present
  • Diagrams or drawings of the scene
  • The names of witnesses and their statements
  • Reference number

The law enforcement case file may also contain motor vehicle information, as well as specific details of the incident and any evidence associated with the case.

Examples of police reports may include but are not limited to domestic disputes, traffic accidents, thefts, fraud, assault, burglaries, and stalking incidents. Other information that may be available includes crime surveys, crime statistics, calls for service, weather information, and traffic accident surveys.

  • You are not at least 17 years of age

Filing a Report

Remember, filing a false report is a crime! Before you begin making your non-emergency report, please be sure to have all necessary information gathered and ready to enter.

Request Crime And Accident Reports

The Baltimore County Police Department provides copies of crime and accident reports by mail. There is a $15 fee for each report, unless you are a victim of a crime. A copy of your incident report is free of charge if you are a crime victim.

To request a report, download a copy of the Police Report Request Form and send to:

Please include the following with your request:

  • Report number, if known
  • Date and time of the incident
  • Location of the incident
  • Names of the individuals involved
  • Your name

Please enclose:

  • A check or money order payable to Baltimore County, Maryland in the amount of $15 for each report. Do not send cash. This fee is nonrefundable. Please note that incident reports are only free if you are a victim of a crime.
  • A business-sized, stamped, self-addressed envelope.

Why Can’t I Report All Crimes Online

  • Only crimes that have no suspects, are not in progress and do not involve injury can be reported online.
  • Some crimes and incidents may require evidence collection or other investigative procedures requiring an officer’s involvement.
  • Among others, online reporting is NOT appropriate for the following crimes or incidents:
  • Incidents occurring within past 30 minutes
  • Violent crimes, completed or attempted
  • Sex crimes
  • Theft or loss of a firearm
  • Theft or loss of prescription drugs or other controlled substances.
  • Stolen vehicles, completed or attempted
  • Stolen license plate
  • Burglary of your home or business
  • Crimes committed due to race, religion, ethnic or national origin, disability and/or sexual orientation
  • Aggressive driving

What Happens After I File A Report

  • REPORT your crime online. After you complete your report you will see “Your Online Report Has Been Submitted.”
  • RECEIVE a temporary report. You will immediately be given a temporary transaction number. This is your confirmation number but not your official police report number.
  • APPROVAL of your report. If your report is approved, you will receive an email with the official police report number. This is the number you need to file with your insurance company.
  • Incorporate Your Branding Into Your Report Design

    Copy Of A Police Report

    The VPD Correspondence Unit can provide a copy of a police report to you if you have reported or been involved in a property offence incident, such as:

    • theft
    • break-and-enter
    • motor vehicle collisions where a police officer has completed an MV6020 report

    With your consent, your insurance company can make this request on your behalf. In most cases, your police report number is sufficient for the VPD to find your file.

    You Cannot File A Report Online If

    • A threat was made or violence was used during the incident. If you are in immediate danger, please dial 911. If you are no longer in danger, please call us at 613-236-1222, extension 7300.
    • Evidence was left on the scene such as, but not limited to blood, tools, clothes or any item related to the incident. Please call 613-236-1222, extension 7300 to file a report.
    • The incident being reported did not happen in Ottawa. Please contact the police service in the city where the incident happened to file a report.
    • The stolen property is a passport
    • The property lost is a cell phone, licence plate, bank card or government issued identification, with or without a serial number. Please contact your service provider to get a replacement.

    Other Types Of Records

    Among police departments across the country, police incident reports and police reports are far from alone. Law enforcement agencies maintain a wide variety of records, some similar to incident reports and some vastly different. These documents include:

    • Logs of arrests or arrest reports detailing arrests made by law enforcement.
    • Logs of incident responses detailing police action taken in response to incidents.
    • Search warrants allowing law enforcement officers with reason to suspect criminal activity to search a location.
    • Arrest warrants listing the defendant’s name, description of the crime and bail amount.
    • Custody and bail records held at county and city jails.

There is no charge to the victim of a criminal investigation. There is a $5.00 charge for individuals involved in a motor vehicle accident. Cash or money orders, no checks.

    • Robbery
    • House and business break and enters
    • Domestic disputes
    • Theft of a vehicle
    • Any type of fraud resulting in the loss of funds/personal information or property, including fraudulent use of debit or credit cards
    • Incidents that involve lost / stolen citizenship cards, permanent resident cards, immigration documents, government cheques, or cash from the government
    • Incidents involving firearms
    • Stolen property for sale online such as on Kijiji, Craigslist, Facebook, etc.

    What Do I Do If I Have Problems Or Am Not Able To Complete An Online Crime Report

    If you are having technical problems we suggest you try submitting your report using a different computer if possible. Check that your pop-up blocker is not preventing pop-up windows, and that JavaScript and cookies are enabled in your browser.

    You may be able to file your report by phone by calling police communications at 408-277-8900 Monday through Friday, from Noon to 4:00PM or, you may visit the police administration building and make your report to an officer at the information desk.

    Are Police Reports Public Records

    Many types of police records are exempt from public disclosure. There are two main reasons why they arent publicly available.     When exposure to dangerous chemicals or pathogens occurs, its important to document the event carefully in an incident report.

    Including the following details will make your exposure incident report more effective:

    Heres an incident report sample description for overexposure via inhalation:

    Josh Lee, a freight handler in XYZ Shipping Lines, was exposed to carbon monoxide fumes on December 2, 2017, Tuesday, from 7:30 AM to 11:30 AM. He was at the unloading bay B, helping unload some freight from various containers with the help of two forklift operators: Kit Stevens and Donald Summers, neither of which complained of symptoms.

    During unloading, Lee suddenly experienced lightheadedness and nausea. He informed his supervisor that he thought he was ill.

    Stevens and Summers were ordered to turn off powered vehicles and sit in fresh air for an hour while the ventilation system could be examined .

    Lee was driven to the hospital by Martin to receive treatment. On the way, he complained of blurred vision briefly but said that it had cleared up upon walking into the ER. A full report will be attached once received.

    Be sure to attach medical reports and lost-time from work, if any, to your initial report. Keep the report on hand for the duration of the employees tenure with the company, at a minimum.

    • Attempted stolen vehicle regardless of damage value
    • Break & enter an unlocked premise Entry gained by unknown persons to detached garages, secure parkades, vehicle parkades, porches, sheds, storage lockers and laundry rooms. If entry occurs by forced or kicked indoor, or lock cut then report should be reported to 403-266-1234.
    • Theft from a parkade or vehicle parked in a parkade only if no forced entry, otherwise call 403-266-1234.
    • Theft of mail including deliveries from postal services such as UPS.

    Filing a false police report is a crime.
